Exhibiting at Vitafoods Europe 2027: A Practical Guide
Vitafoods Europe is the European trade fair for the nutraceutical industry - dietary supplements, functional foods and functional drinks, and the ingredients that go into them. The next edition runs 18-20 May 2027 at Fira Barcelona Gran Via, and it is organised by Informa Markets. The show has been running since 1997 and now sits alongside sister events in Asia and India under the Vitafoods umbrella, but the European edition in Barcelona is the flagship for the supply chain.
Before anything else, settle the year. The 2026 edition ran 5-7 May 2026 and has already taken place. A surprising number of pages still selling stand space for this show quote those 2026 dates. If you are planning against them, you are planning for a show that has closed. Everything below is anchored to the confirmed 2027 dates.
What kind of stand this show actually needs
The instinct, especially if your last outing was a food or beverage show, is to brief a sampling bar. It is the wrong model. Vitafoods visitors are overwhelmingly technical - formulators, R&D chemists, product developers and procurement - and a supplement ingredient is not tasted, it is specified. The sample is a powder, a capsule, a softgel or an extract, and it means very little on its own. What the visitor is really evaluating is the documentation that travels with it: the specification, the certificate of analysis, the allergen declaration, the regulatory and Novel-Foods position, the stability and bioavailability data.
So the productive stand pairs each sample with its paperwork and gives the visitor somewhere to sit and read. In practice that is three things: a sample display with clearly separated, labelled positions; a documentation point - screen or printed - within arm's reach of the sample; and quiet seated corners where a technical conversation can run for twenty minutes without shouting over the aisle. Get those three right and the metres of open frontage matter far less than exhibitors assume.
Cold chain: narrower than you think
Because food shows lean so heavily on refrigeration, nutraceutical exhibitors often over-spec it. Most supplement ingredients - powders, capsules, dry botanicals, most extracts - are ambient-stable for a three-day show. The genuine exceptions are live probiotic cultures, some omega and lipid samples and a handful of enzymes. If your range is mostly ambient, a single under-counter cold unit covers the temperature-sensitive items and you have saved the cost and floor area of a refrigerated wall you did not need. The right move is to sort your own sample list into ambient and cold before you brief the stand.
Getting the stand there
We build and dry-assemble your stand in our Frankfurt workshop, photograph it for sign-off, then move it to Barcelona by road and install it with our own crew. Because it stays inside the EU single market the whole way, there is no customs file and no temporary-import paperwork sitting on the stand's critical path. Your ingredient samples are a separate shipment with their own documentation - which is the right way round, because it lets the sample logistics run on their own schedule rather than being held to the build.
Fira Gran Via is a large, modern hall complex on the edge of Barcelona towards the airport. It is straightforward to build in, but it is busy, and delivery, marshalling and stand access all run to the venue's timetable rather than yours. We handle the venue and organiser paperwork as part of the build.
Budget, honestly
A modular sample stand starts around EUR 4,500 all-in. A hybrid stand in the low-to-mid twenties of square metres, with the sample-and-documentation system built in and a couple of consultation seats, typically runs EUR 8,500 upward. A larger custom stand with a private consultation area and a display carrying a deep portfolio starts around EUR 16,000. Those figures include design, build, graphics, road freight to Barcelona, installation, dismantling and the organiser paperwork. They do not include floor rental, which you buy from Informa Markets, or hall services, catering supply, staff passes and your own team's travel.
A note on reuse
Vitafoods is an annual fixture and a natural anchor in a supplement company's calendar. If it is a regular show for you, a modular system frame is worth buying rather than renting: the structure lives in our Frankfurt warehouse between editions, and the following year costs a graphics refresh and a freight leg rather than a fresh build.
Because Vitafoods is an annual show and the sample-and-documentation layout carries over well from year to year, a reusable system frame is a sensible purchase here - the structure stays in our Frankfurt warehouse between editions and the next year costs a graphics refresh and a freight leg rather than a new build. Our modular exhibition stands are built for exactly that pattern.
