Why Exhibitors Choose SOL Germany for Making Cosmetics

This is a bench show, not a billboard show. The visitor is a formulator, a quality manager or a purchasing chemist, and what they want to do is pick up a sample, read an INCI list, and ask what the material does at three percent instead of one. A stand that gives them nowhere to put a jar down and nothing to lean on loses those conversations to the neighbour who thought about it. We design the counter height, the sample wall and the closed storage first, and let the graphics follow — which is the reverse of how a launch stand at a consumer show gets drawn.

The stand is built and fully assembled on our own floor in Frankfurt, photographed for your approval, then broken down and driven to Milan. Both countries are inside the EU customs union, so there is no clearance and no carnet — but the leg is roughly 800 kilometres over the Alps, and which pass the truck takes is a decision we make deliberately rather than leave to a freight desk. The route also has to end with a vehicle that is allowed inside Milan's low-emission zone, which is not something every subcontractor checks in advance.

Two show days at a congress centre means a compressed build-up and a compressed tear-down, usually with less yard space and fewer dock positions than a purpose-built fairground offers. That pushes hard toward a system frame that goes up in hours with pre-printed graphics, rather than a bespoke build that wants a day and a half of carpentry on site. We will say so plainly if your brief is drifting toward something the window cannot absorb.

What you sign is one quote. There is no second invoice arriving three weeks after the show closes.

Design the Counter Before the Back Wall

On an ingredients floor the counter is the stand. Almost every conversation that matters happens with a sample between two people, so the working surface needs to be at standing height, deep enough for a jar, a phone and a spec sheet, and long enough that two conversations can run side by side without either party feeling crowded out. We have watched good back walls do nothing at all because the only horizontal surface on the stand was a 40 cm shelf. Draw the counter first, then work out what goes behind it.

Samples Are Heavier and Fussier Than the Stand

A supplier bringing two hundred sample jars is bringing a genuinely heavy, genuinely awkward consignment, and some of it will not tolerate sitting in a warm truck for two days. Samples usually travel separately from the stand, on a schedule the exhibitor controls, which means the stand has to arrive with somewhere for them to go: closed lower storage with a real door, not an open shelf under a curtain. Tell us the sample volume in litres and the number of cartons at brief stage. It changes the floor build, not just the styling.

The Alpine Route Is a Decision, Not a Detail

Frankfurt to Milan can go two ways. The Brenner keeps the load inside the EU the whole way, through Austria and down past Verona. The Gotthard is shorter but transits Switzerland, which sits outside the EU customs union — so the consignment moves under a transit procedure, picks up the Swiss heavy-vehicle charge, and is subject to Swiss night and Sunday driving restrictions. We route over the Brenner by default and plan around the Tyrolean dosing controls that meter truck flow at the pass, because a predictable delay is easier to build a schedule around than a short route with a paperwork step in the middle.

Milan Has a Low-Emission Zone and the Venue Is Inside It

Allianz MiCo sits in the Portello district, well inside Milan's Area B low-emission zone, which restricts older diesel commercial vehicles across most of the city on weekdays. A truck that is fine on a German autobahn can be turned back at the edge of the city, and finding that out on build-up morning is a very expensive way to learn it. We check the vehicle's emission class against the current rules before the load is booked rather than after.

It Is an Italian-Market Show First

The organiser positions this as Italy's reference event for the ingredients and formulation supply chain, and the aisle reflects that — a large part of the technical audience works in Italian day to day, even where the industry vocabulary is English. Graphics that carry the product name and the technical claim in Italian as well as English get read for longer. That does not mean translating the whole back wall. It means the two or three lines that state what the material is and what it does.

Book the Two-Day Turnaround Backwards From Tear-Down

Short shows are planned from the wrong end. Everyone works forward from build-up and then discovers that the dismantle slot is a few hours on the Thursday evening, shared with every other exhibitor and the co-located event, in late-November Milan weather with the light gone by five. We plan the reverse move first — what leaves, in what order, on which vehicle — and then design a structure that comes apart in that order. It is the single change that most reduces overtime on a two-day show.

Those two numbers together tell you most of what you need to know about how to plan: the average stand on this floor is a little over twenty square metres, and a great deal of the audience's time is spent in sessions rather than in the aisles.

Who Exhibits and Who Walks the Aisle

The exhibitor list divides into ingredient suppliers, ingredient distributors, machinery and processing equipment, research and development services, and packaging. The visitor is the technical counterpart: a formulator, an R&D chemist, a regulatory or quality specialist, a purchasing manager with a chemistry background. They are not there to be impressed by a brand film. They are there to find a material that solves a problem in a formula they are already working on.

That changes what a stand has to do. The features the organiser has built around the show reinforce it — LabFocus puts two working laboratory stations on the floor with thirty-minute live formulation demonstrations, and Green Dream gives sustainability positioning its own space. Both reward exhibitors who can talk in specifics. If your technical story only exists in a PDF, this is the show where that shows.

Stand Size on a Floor Where the Average Is About 22 m²

Divide the organiser's own figures and you get a floor where the typical stand is roughly twenty-two square metres. That is a useful sanity check, because exhibitors coming from a large German fairground often size up out of habit and then spend the show standing in empty space.

Nine to twelve square metres works if you are here to hold scheduled meetings and hand over samples, and it is the right first step for a company testing whether the Italian market justifies a bigger commitment. Eighteen to twenty-four is the workhorse: room for a proper sampling counter, a sample wall, closed storage and two or three people without collisions. Thirty-six and up starts to make sense only when you need a seated technical area that is genuinely semi-private, or when you are showing equipment rather than materials.

One practical constraint pushes the same way. On a two-day show, every additional square metre is also additional build-up and additional dismantle, in a window that does not stretch. Size for the conversations you can actually staff across two days, not for the floor plan.

What a Making Cosmetics Stand Costs by Size

Two honest caveats. Because Milan is a cross-border haul rather than a domestic German one, expect the freight component to land in the upper half of each bracket rather than the lower. And the brackets cover the stand: floor space rental is a separate transaction with the organiser, and venue services — electrical supply, rigging, waste — are ordered from the venue and billed by the venue.

Common Mistakes, in Order of Frequency

First, no working surface. A tall back wall and a 40 cm shelf is a stand you cannot sample from. Second, no closed storage, so the sample cartons end up stacked visibly in a corner for two days. Third, leaving the truck's emission class unchecked until build-up week, when Milan's low-emission zone has been sitting there the whole time. Fourth, treating the dismantle as an afterthought on a show where it is a few hours on a dark Thursday evening. Fifth, graphics that state the company name in large type and the actual material in small type — on this floor those priorities are the wrong way round.

Two hundred sample jars is a genuinely heavy consignment and it needs somewhere to live for two days.

Should my graphics be in Italian or English?

For the structure, usually yes. What cannot be compressed is the venue services order — electrical supply has a fixed deadline that no contractor can move — and the freight slot over the Brenner, which is booked rather than improvised. If you are late, tell us which of the two is the binding constraint and we will work backwards from it.

Can I reuse the stand at the next edition?

Yes, if it is built on a system frame. We store it in Frankfurt and refresh the graphics for the following November. On an annual ingredients show that is the sensible pattern — the structure holds up fine for years while the product story and the regulatory position move every twelve months.

Can I visit the pre-build?

Yes, and we encourage it. The workshop is about fifteen minutes from Frankfurt airport. You see the stand fully assembled, check the counter height and the sample-wall layout against the jars you will actually bring, and meet the crew who will install it in Milan.

What graphic files do you need?

Vector files for logos and certification marks, and high-resolution images at around 150 dpi at final size. For this show, send the INCI names and any regulatory claim text as live text rather than baked into an image — technical copy on an ingredients stand tends to get revised late, and live text is cheap to change.

How many staff should I plan for?

On 18 m², two or three. On 24 m² with active sampling, three or four — someone has to stay at the counter while another person works the aisle. Technical conversations here run long, so understaffing shows up faster than it would at a consumer show. Remember that a share of your visitors will be in sessions for part of each day.

Does in-Vitality running alongside affect my stand?

Mainly it affects logistics rather than design. Two events sharing a roof means build-up and dismantle traffic is shared, so dock slots and lift access are tighter than the exhibitor count alone suggests. It also means some visitors are crossing between the two floors, which is an argument for making your positioning legible at a glance from the aisle.

Do you build at other Italian and European shows?
