Cutting exhibition costs the wrong way — a dim, closed, flimsy stand — costs more in lost conversations than it saves. Cutting them the right way means spending deliberately and removing waste. Here are ten ways to lower the bill without lowering the result.
The ten levers
- Reuse a modular stand. The biggest saving available — a reusable frame’s second outing is mostly graphics and freight, not a rebuild.
- Right-size the stand. Pay for the footprint your goal needs, not a round number. An 18 m² that’s well used beats a half-empty 36 m².
- Book early. Late bookings mean worse plots, rushed builds and surcharges — rush builds run 15–25% more.
- Spend on lighting before decoration. The highest-return euro on any stand; it lifts a modest build more than extra graphics do.
- Limit custom to where it’s seen. A modular frame with two custom pieces — counter and feature wall — gives the look for less than an all-custom build.
- Plan freight to the access slot. Booked freight to the venue’s window avoids the premium and delay of last-minute shipping.
- Store and re-inspect between shows. A stand held and checked properly avoids replacing damaged parts every outing.
- Order venue services early. Electrical and services ordered ahead avoid on-site surcharges.
- Keep the design disciplined. Fewer, better elements cost less to build and read stronger than a cluttered stand.
- Measure, then cut what doesn’t work. Tracking cost per lead tells you which shows, sizes and elements to keep and which to drop next time.
Where not to cut
Don’t save on the open front, the lighting or structural safety — a cut there shows immediately and costs you conversations. As a reference, a 9 m² modular runs €3,800–€5,500 and an 18 m² €5,500–€8,500 (stand costs cover design, build, graphics, lighting, install and dismantle — not organiser floor rental, venue services or specialty add-ons); the savings above come from reuse, timing and discipline, not from buying a worse stand.

Foire aux questions
What’s the single biggest way to save on exhibition costs?
Reuse. A modular stand that comes back out for your next show spreads the build cost across several events — the second outing is mostly graphics and freight rather than a fresh build, which no other single saving matches.
How do I cut costs without the stand looking cheap?
Spend deliberately — lighting and one or two custom focal pieces — and save through reuse, right-sizing, early booking and discipline. Never cut the open front, lighting or structural safety; those show immediately and cost you conversations.
