A private or semi-private meeting room is one of the most-requested stand features, and one of the most misjudged. It can be the most valuable part of a stand or a costly mistake that swallows floor you needed elsewhere. The answer is genuinely “it depends” — here’s on what.

When it’s a yay

If your show is sales-led and the goal is serious buyer conversations — contracts, specifications, sensitive numbers — a place to sit privately is where the value is captured. On stands of roughly 24 m² and up, a semi-private meeting area pays for the floor it takes, because the deals that justify the show happen there, not in the aisle.

When it’s a nay

On a small stand — 9 to 18 m² — a closed room eats the floor and blocks the sightlines that bring people in, for a meeting space you’ll use occasionally. The cost is double: you lose the footfall a closed wall kills and the open space the room consumes. For lead-volume shows, an open, busy stand usually beats a private box.

The middle path: semi-private, not sealed

Most of the value of a meeting space comes without a fully enclosed room. A raised, semi-screened area — set back from the aisle, defined but not walled off — gives privacy enough for a real conversation while keeping the stand open and visible. It’s the option we recommend most, because it captures the benefit without the footfall cost of a sealed room.

Decide by goal and size

The rule of thumb: sales-led goal plus 24 m² or more, yes — ideally semi-private. Lead-volume goal or under 18 m², usually no. If you’re between, a semi-screened area is the safe choice.
