Having been on a lot of build-up floors, I can tell you the same handful of problems recur, and all of them are preventable. Here they are, and how a good builder stops each.
The design that was never approved in time
The most common disaster I see is also the quietest one: a stand designed without the venue's rules in hand, flagged at approval, with no time left to fix it. Every major hall publishes a technical manual — height limits, platform and rigging rules, fire-rated materials, the deadline for submitting approval drawings — and every one of those rules is knowable months ahead. When a stand is drawn to a client's wish rather than to the hall's manual, the problem does not appear at the design meeting; it appears when the organiser rejects the drawing two weeks before build-up. The prevention is simple and non-negotiable: design to the specific venue's rules from the first sketch, and submit the approval drawings early enough that a rejection still leaves time to respond. A builder who cannot tell you the submission deadline for your hall has not started the job properly.
The stand first-built in the hall
A stand that has never been assembled before it reaches the show floor — first built, for the very first time, during the short build-up window — is a disaster waiting for its moment. Panels that do not quite meet, a header that fouls a truss, a graphic printed a hair off register: none of these are catastrophes in a workshop, where there is time and a saw. On the floor, with hours on the clock and no spare material, each one is a crisis. The prevention is a pre-build: assemble the stand fully in the workshop, inspect it, fix what does not fit, then pack it knowing it goes together. We pre-build the structural elements as standard, precisely so the hall is an assembly job and not a first attempt. Ask any builder directly whether your stand will be pre-built before it ships. If the honest answer is no, you are carrying that risk.
The freight that missed its slot
Venues run tight, timed access. A truck that arrives outside its allotted window queues for hours — sometimes is turned away until the next window — and every hour lost is an hour taken out of an already-short build-up. I have watched crews stand idle beside an empty plot because the freight was booked without reference to the venue's marshalling schedule. The prevention is booking freight to the actual access slot the organiser assigns, and planning the route and timing around it, with real buffer for the things that go wrong on a motorway: weather, a closed Alpine pass in winter, a border delay, a breakdown. Freight is not the glamorous part of a build, which is exactly why it gets underplanned — and why it so often decides whether the rest of the schedule holds.
The power that wasn't ordered
A demo that will not run on opening morning because the electrical supply was never ordered to the right load — or was ordered late, at a premium, for the wrong position — is a failure I have seen turn a strong stand into an embarrassment in front of its first visitors. Show power is ordered separately from the build, to a deadline, and it has to match what the stand actually draws: the screens, the lighting rig, the demo equipment, the coffee machine that somehow always gets forgotten. The prevention is confirming the electrical requirement at the design stage, ordering it to the venue's deadline, and specifying the drop positions so the power lands where the stand needs it rather than where it is convenient for the hall. Late power orders cost more and arrive less reliably; the discipline is to treat the order as part of the design, not a task for the week before.
The smaller failures that still sink a stand
The disasters I have watched happen to other exhibitors almost always trace back to a handful of avoidable failures, and the fix is always upstream of the show floor:
- No spares on site — a cracked panel or a failed light with no replacement can halt a stand for the day. Our crew carries spares, fixings and tools as standard, because the one thing you cannot buy inside a hall at 8am is the exact part you need.
- A broker with no one accountable — when the build has been subcontracted down a chain and nobody actually owns the problem at seven in the morning, small issues become stuck issues. One accountable builder with its own crew is the difference between a fix and a stand-off.
- Leaving no buffer — a schedule with zero slack fails the instant anything slips, and something always slips. We build buffer in deliberately, and more of it for winter and peak-season shows when everything from freight to labour is under strain.

None of it is exotic. It is simply the difference between a builder who has been on enough build-up mornings to respect what goes wrong and one who is hoping it will be fine.
