A busy stand is a good problem — until the crowd becomes a bottleneck and people leave because they can’t get served. Managing a crowd so it converts rather than disperses is a skill, and it’s mostly about planning the flow before the rush. Here are the tactics that work.

Design the flow before the show

Crowd management starts at the design stage: an open front, a clear path in and out, and the demo or focal point placed so a gathering crowd doesn’t block the entrance. A stand designed for flow handles a crowd; one that wasn’t jams up at the first rush.

Stagger the draw

If everything happens at once — one demo, one focal point — the crowd peaks and overwhelms the team. Scheduling demos or talks at intervals spreads the draw across the day, keeping a steady, manageable flow rather than a crush followed by emptiness.

Have enough staff at peak times

Crowds form at predictable times — mid-morning, after lunch, around scheduled talks. Rota more staff onto the stand at those peaks so visitors aren’t left waiting and walking. An under-staffed stand at peak time loses exactly the visitors it worked hardest to attract.
