10 Common mistakes made by exhibitors & how to avoid them

Common mistakes made by exhibitors and how to avoid them

Most exhibition budgets aren’t wasted by one disaster; they’re eroded by a handful of avoidable mistakes that repeat show after show. None of them are exotic, which is exactly why they keep happening. Here are the common ones and the fix for each.

No clear goal

Exhibiting because “we always do”, with no defined target, makes every later decision arbitrary and success impossible to judge. The fix: set one measurable goal before you book, and let it drive the stand and staffing.

A closed-off stand

A counter across the front, a wall of small text, no clear sightline in — visitors won’t enter a space that reads as closed. The fix: keep the aisle edge open, the interior visible, and the message readable from a distance.

Under-prepared staff

Staff on their phones, unsure of the goal, or unable to start a conversation lose visitors a good stand attracted. The fix: brief the team on the goal, the lead-capture method and who does what before the doors open.

Weak or no follow-up

Leads collected and then left for two weeks are leads lost. The fix: plan the follow-up before you travel and execute it within days, while the conversation is still warm.

Overspending on a one-off

Commissioning a fresh custom stand for a single show you’re unsure about is a common way to waste budget. The fix: for a first or uncertain show, a sharp modular stand reused later is the smarter spend; save custom for shows that justify it.

Booking too late

Late booking means worse plots, rushed builds and surcharges — rush builds run 15–25% more. The fix: start early, especially for the busy spring season, to secure the plot, the build slot and the freight.

Frequently asked questions

What’s the most common exhibitor mistake?

Weak or missing follow-up, closely followed by a closed-off stand and no clear goal. None are exotic, which is why they recur — each has a simple fix that most exhibitors know but skip under time pressure.

How do I avoid overspending on a stand?

For a first or uncertain show, choose a sharp modular stand you can reuse rather than a one-off custom build. Save custom for shows that justify it by size, competition or a launch. Booking early also avoids rush surcharges of 15–25%.
