8 Tips for Training the Expo Staff

The best stand in the hall still fails if the people on it aren’t ready. Staff are the part of the stand that actually converts visitors, and a few hours of preparation beforehand returns more than almost any spend on the build. Here are nine practical tips for training your expo team.

  • Brief the goal. Everyone on the stand should know what the show is for — leads, a launch, meetings — so they pull in the same direction.
  • Replace “can I help you?” Train one strong opener — a question tied to the product or the visitor’s problem — that starts a real conversation.
  • Teach a quick qualifier. A couple of questions that establish whether a visitor is worth more time, politely, so staff spend it well.
  • Drill the lead-capture method. Everyone records leads the same way, with the next step noted, before the doors open.
  • Practise the demo. Whoever runs a demo should run it smoothly and know how to turn it into a conversation.
  • Assign roles. Who greets, who demos, who handles serious buyers — decided in advance, not improvised.
  • Set shifts and breaks. Tired staff convert poorly; rotate so people are fresh and the stand is always covered at peak times.
  • Agree body language. Open posture, off phones, not clustered talking to each other — the basics that decide approachability.
  • Debrief daily. A five-minute end-of-day huddle to share what’s working and fix what isn’t for tomorrow.

Preparation beats talent

None of this requires naturally gifted salespeople — it requires preparation. A briefed, rehearsed team of ordinary staff outperforms a talented but unprepared one every time. The training is the cheapest, highest-return investment in the whole show.
